Freelancer Coordinator

Job Introduction

ROLE OBJECTIVE  

To provide an efficient and effective service to the business in putting in place and maintaining Freelancer working agreements and lifecycle for the different legal entities within the BPP Group to enable the BPP operating model.   

 

KEY RESPONSIBILITIES  

 Issuing Freelancer contracts (for sole traders and limited companies) across the BPP Group for its separate legal entities including:

 

  • Liaising with Line Managers to retrieve completed Freelancer Engagement Forms (FEF’s)
  • Drafting and issuing contracts and supporting paperwork to Freelancers based upon received FEF’s
  • Setting up Freelancer e-files, inputting new Freelancer records on Resource Link (RL) database
  • Daily monitoring and maintenance of the ‘Freelancer Admin’ Outlook mailbox and  
    MS Teams Freelancer Tracker   
  • Ensuring Stakeholders including IT and Purchase Ledger are advised when a Freelancer is in place or re-engaged
  • Proactively communicating with Line Managers, regarding their Freelance lifecycle records 
  • Utilising the database to help prompt the re-issue of contracts to Freelancers that  
    continue to provide services to the BPP entities
  • Tracking contract return ensuring all pages have been returned, no changes have been  
    made and documents have been signed by all parties  
  • Arranging DBS checks as required and managing and maintaining the DBS check tracker
  • Working with colleagues to improve and streamline the end-to-end Freelancer administration process  
  • Working in partnership with other members of the HR team on ad hoc projects  
  • Effectively undertaking any other duties as required

 

This role sits within the HR Team and the successful candidate will be expected to participate in HR Team projects, meetings and assist with general HR administration from time to time. 

 

SKILLS, KNOWLEDGE AND EXPERIENCE REQUIRED

  

This role requires an individual to be self-managing in terms of their time and prioritising their work.  Discipline is required to keep on top of a high level of administration and advisory assistance. The individual will have proven, significant detail focused experience in a fast-paced environment.

 

  • Experience of working in a methodical way in line with standard processes, undertaking a high level of administrative work
  • Proven ability to work on own initiative with minimal supervision, taking accountability  
    for your workload
  • Demonstrable ability to consistently work to a high degree of accuracy and exceptional attention to detail  
  • Proven ability in building and managing relationships with internal stakeholders
  • Confidence to challenge managers when advising around due process
  • Proven ability to communicate clearly and in a professional manner, both verbally and  
    in writing.
  • Excellent time management skills and ability to schedule and prioritise your work using  
    your time effectively
  • Setting and meeting realistic deadlines in accordance with business and customer needs
  • Proven ability to work and collaborate as part of a team, sharing knowledge/advice with  
    colleagues and aid others where appropriate.
  • Strong working knowledge of Microsoft Office, specifically Word, Excel, Outlook and  
    365
  • Experience of using databases to track records
