What you’ll be doing

 

To provide an efficient and effective service to the business in putting in place Freelancer contracts for the different legal entities within the BPP Group to enable the BPP operating model.  

 

  • Issuing Freelancer contracts (for individual contractors and limited companies) across the BPP Group for its separate legal entities including:
    1. Drafting contracts and supporting paperwork
    2. Sending contracts to Freelancers and liaising over any changes in clauses
    3. Setting up Freelancer e-files
    4. Inputting new Freelancer records on the database, populating all necessary screens
  • Daily monitoring and maintenance of the ‘Freelancer Admin’ Outlook mailbox and freelancer tracker
  • Liaising with the Legal Team on any issues outside of the FAQ, and regarding amendments to contract templates
  • Liaising with the Legal Team to ensure a current Power of Attorney is in place for those signing Freelancer contracts for BPP 
  • Ensuring Purchase Ledger are advised when a contract is in place to enable payments to be made
  • Proactively communicating with line managers, keeping them abreast of progress on matters relating to Freelancer contracts
  • Supporting HR Business Partners in developing a training package for Hiring Managers
  • Undertaking quarterly purges of Freelancers (that are no longer being used) from the system 
  • Creating monthly metrics relating to contract issue and turnaround times
  • Utilising the database to help prompt the re-issue of contracts to Freelancers that continue to provide services to the BPP entities
  • Liaising with Hiring Managers to ensure completed documentation is in place such as the Freelancer Engagement Form and supporting certification, e.g. Certificate of Incorporation and/or VAT certificate
  • Tracking contract return ensuring all pages have been returned, no changes have been made and documents have been signed by all parties
  • Arranging DBS checks as required and managing and maintaining the DBS check tracker
  • Maintaining up-to-date records relating to international freelancers
  • Working with colleagues to improve and streamline the end to end Freelancer administration process
  • Working in partnership with other members of the HR team on ad hoc projects
  • Effectively undertaking any other duties as required

 

This role sits within the HR Team and the successful candidate will be expected to participate in HR Team projects, meetings and assist with general HR administration from time to time.

 

Skills, knowledge and EXPERIENCE required

This role requires an individual to be self-managing in terms of their time and prioritising their work.  Discipline is required to keep on top of a high level of administration.  

 

  • Proven, significant detail-focused administrative experience in a fast-paced environment
  • Experience of working in a methodical way in line with standard processes
  • Experience of undertaking a high level of administrative work in a standalone role
  • Demonstrable ability to consistently work to a high degree of accuracy and exceptional attention to detail
  • Proven ability in building and managing relationships with internal stakeholders 
  • Confidence to challenge managers when advising around due process – you will need to be firm, but professional, with freelancers and Hiring Managers to ensure a correct freelancer contract is in place.
  • Proven ability to communicate clearly and in a professional manner, both verbally and in writing.  You need to demonstrate that you understand the impact and effectiveness of all communication methods and use each method appropriately.
  • Excellent time management skills and ability to schedule and prioritise your work using your time effectively, setting and meeting realistic deadlines in accordance with business and customer needs
  • Demonstrable experience of improving a process to improve the user experience, including initial review, recommendations for action, implementation and review
  • Proven ability to work and collaborate as part of a team, sharing knowledge/advice with colleagues and offer assistance to others where appropriate.  
  • Proven ability to work on own initiative with minimal supervision, taking accountability for your workload
  • Strong working knowledge of Microsoft Office, specifically Word, Excel, Outlook and 365
  • Experience of using databases to track records
