An opportunity has arisen for an organised and methodical individual to join the team as an Operations Coordinator. The role is an integral part of the delivery and student support teams across the University and will report to the Programme Support Manager ensuring a smooth educational journey for all learners.

What you’ll be doing
In this role you will carry out key operational tasks related to each learner’s journey in conjunction with key stakeholders across the business. This includes communications to students, clients and stakeholders inside and outside the school, managing and responding in a timely manner to administrative and learner queries as well as ensuring that all key milestones are met operationally for each cohort and programme. It is anticipated that the post holder will take full responsibility for at least one programme but can support across all programmes delivered by the School. They will work very closely with the Award Lead for their area/s.
As such, you will be responsible for:
- Act as a point of contact for all programme queries from students, offering excellent customer service and issue resolution.
- Ensuring learners have appropriate access to timetables, virtual learning environment, library and other appropriate resources.
- Working with the Award Leads to create and maintain timetables for OCRL dates, formative submissions and exams. You must ensure any changes to these dates are proactively managed with the Award Leads and client service managers.
- Provide regular communication to learners regarding their programme of study, ensuring relevant and consistent messaging for all students
- Working closely with the Award Leads to proactively identify any potential issues with the delivery of the programme (e.g tutor illness, deadline changes) and escalating to our client, students and Client Services as appropriate)
- Support with the delivery of OCRL to include (but not limited to), checking Adobe links being issued to students, auditing the timetable with Resourcing (ensuring both tally) supporting with issues, liaising with central OCRL team
- Providing accurate reporting on student progress (as required) to senior management and other stakeholders
- Provide academic and safeguarding support to students following policies and procedures
- Regular and accurate maintenance of appropriate programme information systems (e.g. SharePoint, VLE and Home Pages)
- Regular and accurate maintenance of internal tracking dashboards
- Communicating with learners following examination results release around progression, completion and withdrawal
- Coordinate an induction programme and ensure a smooth registration and on boarding experience
- Liaison with internal departments as necessary, to include: Client Services, Student Records, Examinations Office, Resourcing, Academic Administration and Faculty/Coaching teams
- Other activities as and when required by the school
What we’re looking for
Essential:
- Experience in coordinating operational processes
- Managing expectations of key stakeholders
- Experience of working within a service delivery environment working towards KPI’s and SLA’s
- Demonstrable experience of commitment to improving service delivery and customer satisfaction
- Ability to manage complicated operational challenges
- Excellent written communication skills
- Excellent presentation skills
- Excellent computer/IT skills
- The ability to work well in a team and be collaborative
- Good communication and active listening skills
Desirable:
- Ideally educated to degree-level, however applications from candidates with appropriate and relevant work experience or other equivalent qualifications will also be considered
- Experience of managing a service within an education environment or equivalent
- Have a flexible and responsive approach to workload and the ability to proactively prioritise accordingly
