Job Introduction

Job Purpose

You will be responsible for providing administrative support to the Lower-Level Financial Services Apprenticeship Teams across the BPP School of Financial Services.  For most of your week, you will play a key role in the day-to-day operations of the Scotland Apprenticeship team and as such travel to the BPP office in Livingston is required on occasion.  For the remaining part, you will provide administrative support to the lower-level Banking and Insurance Apprenticeship teams in England.

What you will be doing

  • Obtain learner details from key stakeholders, prepare learner folders and prepopulate sign up paperwork.
  • Check returned packs and upload to FIPS.
  • Register learners with Awarding Bodies and MA Online.
  • Ensure data accuracy on relevant Apprenticeship systems including FIPS, SQA, MA Online.
  • Process starts, claims and leavers on all systems within service level agreements.
  • Regular audits of learner folders to ensure compliance with SDS and awarding bodies.
  • Using PowerBI and FIPS to compile and check regular data reports. 
  • Reconciliation of transactions and processing manual payments and invoices.
  • Monitor shared mailboxes, replying to learners or escalating where appropriate.
  • Monitor active learning, contacting learners where appropriate for updates.

  • Experience of working autonomously and managing own workload efficiently and effectively. 
  • Exceptional time management and organisational skills. 
  • Excellent attention to detail and strong literacy/numeracy skills.
  • Strong digital literacy skills including, but not limited to, Outlook, Excel, Word and PowerPoint.
  • Strong communications skills, ability to communicate professionally and work closely with and support internal and external stakeholders.

 

Additional Desirable skills:

  • Experience of working with Apprenticeships in Scotland in an administrative capacity
  • An understanding of Skills Development Scotland including their systems and processes.
